We are accepting applications for an Institutional Advancement / Business Office Assistant Position to start immediately.

1. University degree in Management/Finance/Marketing, Public Relations, or in a closely related field (Master’s Degree is preferred).
2. At least 3 years of experience in a professional field (finance, sales, community/economic development, non-profit, project management, marketing, etc.)
3. Skilled in creating content, posting, and strategizing within digital marketing platforms including social media and web.
4. Excellent communication skills in written and oral English language and interpersonally.
5. Skilled in MS Office/Google Workplace, Adobe, Canva, and alumni database platforms.
6. Skilled in customer relations to support AR/AP/Procurement & Purchasing.
7. Ability to handle multiple duties at the same time.
8. Ability to build and maintain strong relationships.
9. Skills in the operation of computers and job-related software programs.
10. A strong commitment to continuous quality improvement.

POSITION:

The Institutional Advancement officer reports to the Enrollment Management Director. This position provides support for the Enrollment Management Office’s overall institutional advancement efforts, including fundraising, community and public relations, alumni relations, marketing, institutional research, planning, and continuous improvement efforts with regards to accreditation and strategic action plans.

The candidate works closely with the Senior Leadership Team and the Business Office to strengthen ASM’s long-term financial sustainability, engage and connect with the School’s community, promote ASM, and improve the School’s reputation.

JOB DESCRIPTION

Business Office Assistant (½) 

• Assist with the day-to-day operations of the Business Office with regards to front-line and back-office functions focused on securing current, near-term, and long-term financial support and working to advance ASM’s mission.
• Handle incoming calls and other communications, update the Business office’s paperwork, organize and manage common office areas, and assist with client reception.
• Support A/R processes to increase collection rates, overall revenue, and timeliness, as well as improved satisfaction.
• Assist with the development of policies and procedures and recommend changes to effectively meet the goals and requirements of the Business Office.
• Assist with all purchasing needs of the school, obtaining and organizing quotes, and liaising with external vendors.
• Maintaining the billing system.
• Generating invoices and account statements.
• Maintaining accounts receivable files and records.
• Producing monthly financial and management reports.
• Assisting in general financial management and analysis.

Institutional Advancement Officer  (½)

     Fundraising & Development:

• Assist in the development and execution of an annual fundraising plan, including identifying funding sources and cultivating relationships with donors.
• Collaborate with school leadership to identify and cultivate relationships with corporate sponsors and community partners to support school initiatives and programs
• Manage and maintain accurate records of all gifts and donations, including acknowledgment letters and other donor recognition efforts
• Monitor, analyze, and report on overall fundraising results versus goals.
• Identify unmet institutional needs/opportunities both internally and externally and research, facilitate, and design viable solutions to meet those needs.

      Alumni Relations:

• Manage and maintain the school’s alumni relations program, including planning alumni events and reunions, keeping alumni databases up to date, and communicating with alumni on a regular basis.

Communications & Marketing:

• Develop and implement a comprehensive communication plan that includes social media, email marketing, and other digital and print communication channels to promote the school and its activities to all stakeholders
• Assist in the development and production of promotional materials, including brochures, newsletters, annual reports, etc.
• Routinely attend community events and actively promote program activities.
• Create programs and events (e.g. Career Connections, Alumni reunions, Annual Fund, etc.) to inspire engagement by ASM constituents.
• Tell ASM’s story through various communication channels (newspapers, Open House events, radio announcements, etc.)
• Connect & engage with the local community through collaboration and strategic partnerships

Strategic Planning and Institutional Research:

• Assist in the development and execution of high-level institutional advancement events that advance the awareness, appreciation, and understanding of the mission, values, accomplishments, and goals of ASM.
• Assist in establishing, monitoring, and managing goals for Institutional Advancement as related to the strategic plan.
• Conduct surveys, analyze data, and develop reports and recommendations for institutional leadership.
• Help establish and strengthen Institutional Advancement processes and operations.
